Terms and Conditions

1. General Terms
All members are responsible for complying with these Terms & Conditions and the Health Commitment Statement (HCS), which are in place for the enjoyment and safety of all Absolutely Fitness members and staff. By joining and using our facilities, you confirm that you have read, understood and agreed to these terms in full.
Absolutely Leisure reserves the right to amend these Terms & Conditions at any time. Members will be notified of material changes and continued use of the facilities constitutes acceptance of the updated terms.
 
 
2. Member Conduct

All facilities must be used in accordance with the gym etiquette guidelines displayed throughout the site. The management reserves the right to terminate or temporarily suspend the membership of any person found to be in breach of the rules, regulations, or conduct guidelines. During any management-imposed suspension, membership fees will continue to be charged as normal.
  
 
3. Access & Member Photo Requirement

3.1. Members must scan their barcode from the Absolutely Fitness App on each visit and at every door that requires it. If a mobile phone is unavailable, members must speak to a staff member on arrival to have their account verified before entry is granted.
3.2. It is mandatory for all members to have a clear, visible photograph taken of them and uploaded to their membership account. This is required for security and identification purposes and to ensure the correct member is accessing the facilities.
3.3. Automated access through our entry system will not be enabled until a satisfactory member photograph is on record. Members without a photo on their account may be required to speak to a staff member on each visit until this is provided.
3.4. Photographs must be a clear, up-to-date likeness of the member. Absolutely Fitness reserves the right to request an updated photo at any time if the existing image is no longer considered suitable for identification purposes.
  

4. Facilities
4.1. Absolutely Leisure reserves the right to make changes to the programming of facilities at any time.
4.2. Specific areas such as Pilates and functional training rooms may be unavailable for general use when classes or courses are in progress. Such times will be advertised in advance where possible.
4.3. Absolutely Fitness will endeavor to ensure all facilities, classes and equipment are available during advertised opening times. Occasionally, due to circumstances beyond our control, facilities or equipment may be unavailable or classes cancelled.
4.4. During festive periods, opening times may be altered at the discretion of management. These circumstances are factored into membership fees and do not give rise to a refund.
4.5. Absolutely Leisure operates a planned redecoration and maintenance programme. During these periods access to certain areas may be restricted for a limited time. Refunds will not be issued during such periods. We encourage members to consider alternative exercise options during this time.
 

5. Direct Debits & Payments
5.1. By signing up for a Direct Debit, you confirm that you are over 18 years of age.
5.2. Membership payments and contracts are held with third-party provider Virtuagym, and payments are collected by GoCardless. By agreeing to these terms, you also agree to the terms of both providers.
5.3. Monthly membership invoices are generated by Virtuagym 5 days before your scheduled payment date. Your exact payment date may vary slightly depending on weekends and bank processing times. For example, if you sign up on the 15th of a month, you can expect your payment to be collected on or around the 15th of each month going forward.
5.4. If you are on a 12-month contract, you may pay the remaining balance in full at any time by contacting us directly.
5.5. Contracted membership periods do not automatically terminate after the final contracted payment. Your membership will continue on a rolling monthly basis until a formal cancellation request is submitted. For example, a 12-month contract will roll into month 13 and beyond until cancelled.
5.6. The minimum age to sign up to a Direct Debit contract is 18. Members aged 16-17 require written third-party consent from a responsible adult over 18. Junior members aged 14-15 must have an adult over 18 pay on their behalf.
5.7. You agree to pay the full amount due within the specified timeframe. Failure to make payment by the due date constitutes a breach of this agreement. We reserve the right to refer outstanding debts to an external collections agency, and you will be liable for any associated charges. We are not responsible for any losses you suffer as a result of late or missed payments.
Please do not cancel your Direct Debit with your bank without first submitting a formal cancellation request through our website. Our automated payment system will continue to attempt collection regardless of a bank-level cancellation, which may result in late payment fees and breach of contract.
 
 
6. Cancellations
 
6A. How to Cancel

All cancellation requests must be submitted in writing via the ‘Manage Your Membership’ section at www.absolutely-fitness.co.uk/manage-your-membership. Verbal or telephone requests will not be accepted and cannot be processed or backdated under any circumstances. This is to ensure all requests are formally recorded and actioned correctly, consistent with the process used for your original membership submission.
  
6B. 12-Month Contract Cancellations
6.1. Direct Debits on a 12-month contract cannot be cancelled before all 12 monthly instalments have been completed.
6.2. Once the final contracted payment has been made, cancellation requires 1 month’s written notice submitted via the Manage Your Membership portal.
6.3. Any payments falling due within the notice period remain payable in full. For example, a member whose payment falls on the 1st who submits notice on the 2nd will still owe a full payment on the 1st of the following month.
 
6C. Rolling / Month-to-Month Contract Cancellations
6.4. Month-to-month memberships may be cancelled at any time after the first instalment has been taken, with 1 month’s written notice via the Manage Your Membership portal.
  
6D. Exceptional Cancellation Grounds
In the following exceptional circumstances, early cancellation may be considered on an individual basis, subject to the provision of sufficient supporting documentation at the time of the request. Requests submitted without documentation cannot be considered:
– Serious illness or injury — a letter from a GP, consultant or hospital confirming the condition and its impact on your ability to exercise
– Redundancy — a copy of your redundancy notice or P45
– Relocation — proof of new address (e.g. utility bill or tenancy agreement). Eligibility is subject to minimum distance requirements at Absolutely Fitness’ discretion
– Contract Transfer — the contract may be transferred to another eligible person with prior written permission from Absolutely Fitness.
 
6E. Cooling-Off Period
6.5. You have a 14-day cooling-off period from the date your contract begins, within which you may terminate your membership in writing. Any payments made within this cooling-off period are fully refundable, and your membership will be terminated immediately upon written confirmation of cancellation.
6.6. Refunds will be processed within 7 days of the cancellation request being confirmed, in line with our payment security protocols.
6.7. To exercise your right to cancel within the cooling-off period, you must notify us in writing via the Manage Your Membership portal or by contacting us directly. Verbal notification will not be accepted.
 
6F. Direct Debit Responsibility After Cancellation
6.8. It is the member’s responsibility to confirm that Direct Debit payments have ceased from their bank account following an agreed cancellation. This must be verified within 1 month of the agreed cancellation date.
6.9. Payments collected after this 1-month window that have not been queried will not be reimbursed.
Please do not cancel your Direct Debit with your bank directly as our automated system will still attempt collection regardless. Only a formal cancellation request submitted through our website will stop future payments.
  
 
7. Membership Freezes
 
7A. Eligibility & Duration

7.1. Members may freeze their membership once every 6 months, for a minimum of 30 days and a maximum of 90 days per freeze period.
7.2. A minimum of one month of active membership must be resumed between freeze periods before a new freeze can be applied.
7.3. All freeze requests must be submitted via the Manage Your Membership portal at www.absolutely-fitness.co.uk/manage-your-membership. Verbal or telephone requests will not be accepted and cannot be backdated.
7.4. A minimum of 14 days’ written notice is required before the intended freeze start date. Freezes cannot be backdated under any circumstances.
7.5. Annual ‘Paid in full’ memberships are not eligible to be frozen.
 
7B. Freeze Fees
7.6. Basic membership holders will be charged a fee of £3.99 per month of the freeze request. This fee will be added to the member’s account at the time the freeze is applied.
7.7. Hero membership holders are exempt from the £3.99 freeze fee.
 
7C. Freeze Period & Payments
7.8. Your next full membership payment will be collected on the date confirmed in your freeze confirmation email. It is your responsibility to ensure this payment is not cancelled and that sufficient funds are available.
7.9. If you wish to unfreeze your membership early, or extend your freeze, a minimum of 14 days’ written notice is required before your next scheduled payment date. Extensions are subject to the 90-day maximum and 6-month frequency limits.
Freezing your membership pauses payments only. Your contract end date will be extended accordingly. Frozen months do not count toward your contracted monthly instalments.

8. One-Time & Admin Fees
A one-time joining/admin fee is charged upon sign-up to cover the cost of setting up your membership, contract processing, payment processing, and additional costs throughout the life of the membership.
 
9. Annual / Paid-in-Full Memberships
9.1. Memberships paid in full upfront cannot be refunded or frozen under any circumstances.
9.2. A £15 administration fee applies to any changes to a paid-in-full membership, including change of ownership.
9.3. The minimum age for a paid-in-full membership is 16. Members under 18 join at their own consent and must comply with all relevant terms.
 
10. Squad Memberships
10.1. A squad membership of two or more members is paid via a single annual payment or monthly Direct Debit.
10.2. A squad membership cannot be converted to a single membership until at least 6 months of the squad contract have been fulfilled.
10.3. A single adult membership may be converted to a joint/squad membership at any time. This will be treated as a new membership, and a minimum of 12 monthly payments will commence from the date of the first joint payment.
10.4. A £15 administration fee will be charged at the time of any upgrade or downgrade adjustment.
 
11. Student & Junior Memberships
11A. Student Memberships

11.1. Members with a valid photo student ID are entitled to the student membership rate.
11.2. Proof of student status must be provided at sign-up and may be requested again at any point.
11.3. A student membership remains valid for the duration shown on the student ID. On the expiry date of that ID, the membership price will automatically increase to the corresponding adult rate.
11.4. It is the member’s responsibility to notify Absolutely Fitness of any changes to student status, including extensions beyond the original ID expiry date.

 
11B. Junior Memberships
11.5. Junior memberships are available to individuals aged 14–15 years old only.
11.6. Junior members must be accompanied at all times by a supervising adult member aged 18 or over, who assumes full responsibility for the welfare of the Junior Member.
11.7. The Junior Membership is an add-on to an existing adult membership. The adult account holder is fully responsible for all payments, fees and liabilities associated with the junior account.
11.8. Junior Members are only permitted to use designated equipment, and only after completing an induction with a member of staff.
 
12. Corporate Memberships
12.1. Members employed by a company listed in the Absolutely Fitness corporate file are entitled to a discounted membership rate.
12.2. Proof of employment must be provided at sign-up and may be requested again at any point. Failure to provide updated proof may result in the corporate discount being removed.
 
13. Upgrades & Downgrades

13.1. If you upgrade from a Basic membership to Hero, a new minimum contract term of 12 monthly payments will commence from the date of upgrade.
13.2. If you downgrade from a Hero membership to Basic, a new minimum contract term of 12 monthly payments will also commence from the date of downgrade.
13.3. A £15 administration fee will be charged at the time of any upgrade or downgrade.
 
14. Fitness Classes & Group Exercise
14.1. Members are expected to attend all classes they have booked, or to cancel their booking at least 2 hours before the scheduled start time via the booking system.
14.2. Failure to cancel within the required timeframe will be recorded as a no-show.
14.3. A member who accumulates 3 no-shows within any 60-day period will receive a 2-week suspension from advance class bookings.
14.4. Only members on a valid Hero membership may attend Hero classes, as designated on the fitness class schedule.
 
15. General Information
15.1. No food or drink may be brought into or consumed within Absolutely Fitness sites, with the exception of water. Exceptions may be granted at the discretion of management.
15.2. All members and visitors must observe site rules and comply with any reasonable direction given by the management team to ensure the safe and efficient operation of the site.
15.3. Any add-on membership products must be attached to an existing gym membership at the same site. Add-on subscriptions are not valid as standalone memberships.
15.4. All new members are recommended to attend a gym induction.
 
16. Complaints & Escalations
We take all member feedback seriously and aim to resolve any concerns promptly and fairly. If you have a complaint or dispute regarding your membership, payments, or experience at Absolutely Fitness, please contact us through the following channels:
– In person: speak to a member of staff or manager at reception during staffed hours (Monday–Friday, 6am–10pm)
– By email: contact your gym directly via the details at www.absolutely-fitness.co.uk/contact-us
– Online: submit your query via the Contact Us page on the website
We will aim to acknowledge all written complaints within 5 working days and provide a full response within 14 working days. If you remain unsatisfied following our response, you may wish to seek independent advice from Citizens Advice or another relevant consumer body.
 
17. Agreement & Acknowledgement
17.1. By agreeing to these Terms & Conditions, you confirm that all information provided is accurate and that you will notify Absolutely Fitness immediately of any changes to your personal, medical or banking details.
17.2. You confirm that you have read and agree to the terms of the Health Commitment Statement (HCS).
17.3. You understand that you have a 14-day cooling-off period from the start of your contract, during which you may cancel in writing. Any payments made within this period are fully refundable and your membership will be terminated immediately upon written confirmation.
17.4. You confirm that you have read, understood and agree to abide by all of the above Terms & Conditions.

Health Commitment Statement

We are dedicated to helping you take every opportunity to enjoy the equipment and facilities that we offer. With this in mind, we have carefully considered what we can reasonably expect of each other.


Our commitment to you:

1. We will respect your personal choice, and allow you to make your own decisions about what exercise you can carry out. However, we ask you not to exercise beyond what you consider to be your own abilities.

2. We will take reasonable steps to make sure that our equipment and facilities are clean and safe for you to use and enjoy for the normal purpose they were intended for. Bear in mind that we are not able to clean or inspect equipment and facilities after each use.

3. We will take reasonable steps to make sure that our staff are qualified to Chartered Institute for the Management of Sport and Physical Activity standards.

4. If you tell us you have a disability that puts you at a substantial disadvantage in terms of accessing our equipment and facilities, we will consider which adjustments, if any, are reasonable for us to make.


Your commitment to us:

1. Do not exercise beyond your own abilities. If you know or are concerned that you have a medical condition that might interfere with you exercising safely, you should get advice from a relevant medical professional before you use our equipment and facilities, and follow it.

2. Make yourself aware of any rules and instructions, including warning notices, and follow them. Exercise carries its own risks. When you are exercising, you are responsible for the risks involved. You should not carry out any activities that you have been told are not suitable for you.

3. Let us know immediately if our equipment or facilities are unsafe to use or if you feel ill when using our equipment or facilities. Our staff members are not qualified doctors, but there will be someone available who has been trained in first aid.

4. If you have a disability, follow the instructions provided to allow you to exercise safely.


Membership-specific terms and conditions

Basic Contract 2025 - 12 Month Contract

The Basic Membership is a 12-month rolling contract at £25.99/month with a one-off admin fee of £30. After 12 payments, it switches to a month-to-month plan. Monthly membership invoices are created by Virtual gym 5 days before your membership payment date.

These invoices are sent to members on the Monday after they are created. This means that your payment date may vary slightly each month and will not always be the same. GoCardless will still send a payment reminder 3 days before your payment is due.
